Policies

To provide a safe, professional, and exceptional experience for every patient, Karen Barbalace Aesthetics, PLLC has established the following policies. We appreciate your understanding and cooperation.

Booking Appointments
A deposit may be required at the time of booking to secure your appointment. Any deposit collected will be applied toward the cost of services rendered. Appointments canceled with less than 24 hours' notice or missed without notice may result in forfeiture of the deposit.

Please arrive approximately 15 minutes before your scheduled appointment time if paperwork or forms need to be completed. Late arrivals may result in a shortened appointment or may need to be rescheduled to avoid disrupting appointments scheduled after yours.

A valid credit card is required to be kept securely on file for all patients. Credit card information is encrypted and securely stored within your patient account.

Cancellation Policy
We kindly ask that you provide at least 24 hours' notice if you need to cancel or reschedule your appointment. Rescheduled appointments are subject to availability.

Appointments canceled or rescheduled with less than 24 hours' notice, as well as missed appointments or "no-shows," are subject to a $50 late cancellation or no-show fee. Any outstanding cancellation or no-show fees must be paid before scheduling a future appointment.

We understand that unexpected circumstances can occur and appreciate your consideration of our providers' time and other patients who may be waiting for an appointment.

Payment Policy
Payment is due in full at the time services are rendered. We accept cash, major credit cards, CareCredit, and Cherry payment plans.

Eligible HSA and FSA cards may be accepted for qualifying services, including certain office visits, hormone therapy services, and laboratory testing. Eligibility and reimbursement are determined by your individual HSA or FSA plan, and we cannot guarantee coverage.

A valid credit card is required to remain securely on file. Card information is encrypted and stored within your patient account for your protection.

Refund Policy
All services, treatments, packages, and prescription medications are non-refundable, non-transferable, and non-exchangeable unless otherwise stated in writing. Due to safety, regulatory, and pharmacy requirements, refunds cannot be issued for prescription medications once they have been ordered, dispensed, or provided to the patient.

Karen Barbalace Aesthetics reserves the right to recommend an alternative treatment or service when clinically appropriate or when the originally requested service is unavailable.

Results from aesthetic and wellness treatments vary from person to person and cannot be guaranteed. Refunds will not be issued for services that have already been rendered.

Gift Cards & Gift Certificates
Gift cards and gift certificates are subject to the expiration date stated at the time of purchase or listed on the card or certificate, when applicable.

Please present your gift card or gift certificate at the time of your appointment. Gift cards and gift certificates have no cash value and are non-refundable and non-transferable.

Karen Barbalace Aesthetics is not responsible for lost, stolen, or misplaced gift cards or gift certificates.

Packages, Promotions & Discounts
Packages, promotional offers, gift specials, membership benefits, and other discounts may be subject to specific terms and conditions.

Unless otherwise stated, discounted packages and promotional offers cannot be combined with other discounts, packages, promotions, memberships, or special offers. Karen Barbalace Aesthetics reserves the right to determine the eligibility and application of all discounts and promotional offers.

Retail Return Policy
Due to the nature of our skincare and wellness products, retail purchases are generally final sale.

If you experience a suspected allergic or adverse reaction to a product purchased from Karen Barbalace Aesthetics, please contact our office promptly. Depending on the circumstances, we may offer an exchange or store credit toward a future retail purchase.

Privacy Policy
Protecting your privacy and personal information is extremely important to us. Information maintained as part of your patient record, including your contact information, medical information, photographs, and payment information, is handled confidentially and in accordance with applicable privacy requirements.

We do not sell your personal information. We respect your communication preferences regarding appointment reminders, promotional messages, invitations, and other communications from our practice.

Treatment Photography
Karen Barbalace Aesthetics may require before-and-after photographs as part of your medical record to document treatment progress and assist with clinical evaluation.

These photographs will remain confidential and will not be used for social media, advertising, marketing, or other promotional purposes without appropriate authorization or written consent from the patient.

Pricing Disclaimer
Prices for products, services, treatments, and packages are subject to change at any time without prior notice. Pricing displayed online or in promotional materials may be updated periodically. Please contact our office for current pricing.

Medical & Treatment Considerations
For your safety, please inform your provider of all relevant medical conditions, allergies, pregnancy or breastfeeding status, medications, supplements, recent procedures, and any significant changes to your health since your previous visit.

Your provider reserves the right to postpone, modify, or decline treatment when necessary to protect your health and safety or when a treatment is determined to be medically inappropriate.

Children
For the safety and comfort of all patients, children are not permitted in treatment areas or the spa unless they are receiving a scheduled service and are accompanied by a responsible adult.

Our facility contains medical equipment, devices, and products that may pose a safety risk to unattended children. We appreciate your understanding and assistance in maintaining a safe, relaxing environment for everyone.

Karen and Giuseppe (Joe) Barbalace created Norman CPR in August 2025 to teach lifesaving skills to community members, police officers, fire fighters, healthcare professionals, daycare providers, and more to the Norman community and surrounding areas. 

Our CPR and BLS classes provide comprehensive, hands-on training designed to equip you with the skills and confidence needed to respond effectively in emergency situations. Whether you’re seeking certification for work or personal preparedness, our courses are led by experienced, certified instructors who prioritize clarity, accuracy, and real-world application.

You’ll learn the latest techniques in CPR, including chest compressions, rescue breaths, and AED usage, all taught in accordance with current guidelines and best practices.

Classes are structured, informative, and accessible to all experience levels.
